Job Purpose:
• Present a professional impression to parents, guests and customers.
• Being the first point of contact within the school as required.
• Assist with all queries knowledgeably, efficiently and courteously and support the Principal from an administrative perspective to support the smooth running of the school.
Key Relationships (Internal and External):
• All School Departments
Key Accountabilities:
• Welcome visitors to the school and register them, following student protection procedures.
• Respond to telephone/email enquiries from parents and public.
• Use Microsoft packages, particularly Word and Excel, to help support the school’s leadership and
administrative team.
• Assist with all administrative duties such as photocopying, filing, calendar scheduling etc.
• Understand data protection and confidentiality.
• Create and distribute the school’s daily briefing.
• Work to deadlines in a calm and confident manner when under pressure.
• Oversee and assist with whole school events such as Parent Open Days and School Performances.
• Carry out any such task as shall be deemed necessary to the smooth running of the school.
• Handle emergency procedures – fire drills, lockdown etc.
• Assist Principal with administration.
• All desk duties including calling parents for absentees and also writing to parents for day-to-day enquiries.
• Liaise with teachers, SLT, administration team, Admissions, facilities and general management on a daily basis.
• Contribute proactively to the development of regulations, policies, procedures, systems and aid the continued improvement provided by the school.
• To implement and improve office policies by establishing standards and procedures, measuring results against recognized standards, and make necessary adjustments in line with the department requirements.
• Provide technical and administrative support as management representative to Heads of School improvement and head of technology integration for school inspection (IB/CIS/ADEK etc)
Manage front desk Administrators
• Prepare meeting agendas in line with requirements, collate information, prepare and circulate minutes of meeting which capture’s assignments, persons responsible and action by dates.
• Manage and maintain the Principal’s budget, expenses, scheduling expenditures, analysing variances, and initiating corrective actions.
• Oversee Administration annual leaves intentions and create department schedule highlighting preplanned cover Departments of Responsibility:
• Front Desk Administrators
• Compliance Officer
• ECP Coordinator
Skills
Education: Good general education appropriate to the post
Experience: A minimum of 2 years working in a similar field (Preference to candidates with PA experience in schools/ educational environment)
Competencies:
• Excellent command of the English language, both written and verbal
• Excellent telephone manner
• Experienced in Microsoft Office
• Good-natured
• Well-groomed and courteous
• Understanding of general reception tasks with excellent customer facing skills
• A multi-tasker able to support the Management Team with administration and work with all key stake holders.
• Ability to build personal relationships.
